Engineering Events Log Book and Recording Procedure

Purpose:
To provide communication and continuity between shifts.

Procedure:
Engineering department will have three events Logbooks through-out the Hotel,
Book 1: Located in Duty Engineer Office (Main Logbook).
Book 2: Located in each section.
Book 3: Located in important plant rooms, e.g.: Power Distribution Room, AC plant room, Pump Room, Boiler Room, Satellite Plant Room and Carpenter’s work shop.
The Book 1 & 2 are not to be used to record routine maintenance work with-in the Hotel, but are for the sole use of recording extraordinary events such as equipment failures and faults that cannot be repaired immediately. And the Book 3 is to be used to record routine maintenance work etc.
All entries into the Logbook to be written in ink, accurately and legibly, as this log can be used as a legal document.
All entries must show the date, time and be initialed by the technician making the entry.
No pages should be removed or any entry erased. Mistakes and incorrect entries should have a single line drawn through it.
All engineering staff will be fully trained in the use of the Logbooks and demonstration of how to record events will be carried out.
Duty Engineer, Boiler man, H.V/L.V Technicians
All of the above staff is required to review the previous entries in the logbooks at the start and finish of each shift and initial each page.
All entries in the Logbook which requires further action must be noted down by Chief Engineer or Duty Engineer and acted immediately.
Chief Engineer or Duty Engineer
At the start of each morning shift, Chief Engineer or Assistant Duty Engineer will review each events Logbook.
Note down any failure and faults that have taken place and what corrective action has taken place.
If, for any reason the failure or fault remains outstanding, the Chief Engineer or Duty Engineer is to fill out a Maintenance Request Form, prioritized the request and allocate to the respective trade.
On completion of the work, the Duty Engineer is to record the outcome of the repairs in the events Logbook for future reference.
Note:Bring to the attention of General Manager any recurring items in the Logbook that indicate operating problems.
