Application Software and virus protect

Objective ：

IT system is a key tool in our daily operation and it is imperative to follow procedures to prevent the system from infected/attacked by viruses. In an integrated network system, any infection to a system could be disastrous and have great impact to the administration and our guests.

Procedure：

1. All workstations/personal computers should be loaded by the IT Department only with an updated and standardized version of anti-virus utility program and/or firewall enabled.

   
   

2. It is the responsibilities of the IT Department to keep the anti-virus utility regularly updated. Preferably it should be carried out during a specific time frame not to hinder hotel’s operation.

   
   

3. All users must ensure to initiate a thorough scan of anti-virus process on daily basis or whenever the computer is switched on. During the sequences, it should not be aborted before the task is completed.

   
   

4. Once if any virus is alerted in your computer, inform immediately the IT Department for prompt follow up and disinfections. The IT Department should consequently perform a scan on all other or related hotel computers.

   
   

5. In order to carry out an effective prevention, the following regulations are strictly to be adhered to by all users without violation.

   
   

   1. Nobody is allowed to down load any external programs or personal floppy into hotel computers without permission from the IT Department. When necessary, the media is firstly required to be approved by concerned Department Head and subsequently screened by the IT Department before it is inserted into system.

      
      

   2. All of personal computers are not allowed to connect the hotel network. If it is necessary, the personnel computer should be checked by IT department first to make sure the computer is safe.

   3. Do NOT down load any files or emails received from unknown sources/sender(s) or you suspect that it’s infected. Should you still need to down load it, use anti-virus scan prior to downloading.

      
      

   4. Games are strictly forbidden; remove it right now from your computer!

      
      

   5. The Internet access application should be approved by Department Head and IT Manger, the user who access the internet should make sure that the website visited is safe and for working. DO NOT surf 'unauthorized' websites, e.g. pornography; computer games; gambling sites, as such sites may carry viruses. Anyway, surfing such site is violation of your professional ethics using company's time and facilities.

      
      

   6. Also for sake of standardization and readable purposes, all resident application programs should be uniform in version. Except the IT Department and the General Manager, nobody is allowed to alter, change or remove any applications in existence from the hotel computers.

      
      

   7. If practical, always enable the write protection switch of your read only floppy to free it from being infected.

      
      

6. Only restricted personnel are allowed to have access to the administrative network.

   
   

7. Anybody who is found not adherence to the procedures and regulations is subject to disciplinary action. The company reserve the right to take legal action depends on the severity of hazards.
