Objective :
The proper control of Hotel Invoices and Invoice Stamps prevents fraudulent usage.

Procedure :
Hotel Invoices will be purchased by the Income Auditor from the Tax Office based on the monthly consumption and the Income Auditor will be in charge of the Invoice storage and issue. Hotel Invoices are to be always locked in a safe location and the General Ledger Accountant will take an Inventory on a monthly basis.
There are two types of Invoice used in the hotel: one is a roll Invoice used by an Invoice machine, the other one is used manually. The roll Invoices are used in Front Office, n Restaurant and Café, and each location will keep two rolling Invoices for current use. The manual invoice will only be used when the invoice machine is out of order.
The invoice user will use the used invoice‘s counterfoil for the exchange of a new invoice set from the Income Auditor.
The Income Auditor will check the used Invoice’s counterfoil and have a log book to record the issue and return of invoices. Any discrepancy must be reported to the Director of Finance & Business Support immediately. The invoices must be issued in number sequence. The General Ledger Accountant will check this monthly.
The Hotel has different bill stamps depending on how many the hotel outlets ; The stamp in Front Office will be under the charge of the Assistant Manager
The stamp must only be used for invoices and will be locked in a safe place. The invoice stamp may only be used by the responsible person or his/her designated person according to the shift. The stamp may not be borrowed and given to other persons. The Income Auditor will conduct spot checks periodically to ensure that the stamp is in the right place.
7.The punishment will be placed if the invoice and stamp be lost. The punishment policy that set up
by Tax Bureau is based on the following lose one piece of invoice, one thousands of fine, more invoice lose, more fine will be get, but maximum 10,000. One stamp lose, 3,000 will be fined
