Objective
To facilitate ease of communication externally as well as internally within the various departments and individuals, Band 4 and above (i.e. Department Heads and above) are permitted to use email and Le Desk accounts provided by Kalihara Hotels .
Band 5 and associates approved by respective Department Heads will use email and Hotel Online System accounts provided by hotel.

Procedure :
Registering of Email Account
Band 4 and above
IT Manager will register Royal Tulip Bandung email for onboard Band 4 employee when get information from General Manager and Director of Finance. After e-mail requisition approved by Regional IT Support Team, IT manager will help user to setup e-mail account in Outlook Express.
To setup email accounts with the domains @goldentuliphotel.com, the hotel is required to submit an Excel Spreadsheet with detailing information which showed in below to Regional IT Support team.

User’s Title
User’s Department
User’s Phone Number
User’s Fax Number
Hotel’s Name
Hotel’s Address (including city, country, postcode)
Hotel’s Phone Number
c. Each hotel allow to have 30 e-mail by free of charge, for excess email hotel will be charged for Exchange Server Licenses.
Band 5 & associates approved by Department Heads
IT manager will register hotel email account for Band 5 and associates approved by department head, and help user setup their Outlook Express.
Termination of Email & Hotel Online System Account
Upon notification of an individual’s termination by Department Heads or Human Resource Department, IT manager will immediately notify the relevant authorities (Regional IT Support Team and FSM Indonesia) to cancel the concerned Email Account and Hotel online System Account.
Record & Maintenance
IT department are responsible to update and maintain the email & Le Desk lists whenever there is an addition or deletion.
Email User’s Notes
Capacity email volume is approximately 40M (depending of the incumbent’s designation). To prevent your email box from being oversized or possibly service closure from Louvre Server, please move emails to Local Folders regularly.
Regional IT Support Team regularly issues emails regarding anti-virus and any Q&A in regard to this topic. Kindly therefore take note of his emails to prevent your address box from being infested.
There are lots of virus emails floating within the web, PLEASE DON’T OPEN if you don’t know the source of the email and the content of attachment. If you have any question, please do not hesitate to contact IT personnel.
Company email restricts the access if password is wrongly inputted more than 3 times. The account will be locked out for 6 hours automatically to protect the email account from being hacked. If this is the case, either wait for 6 hours for the Server to release the account automatically (this is most practical after normal office hours), or inform IT personnel to contact Regional IT Support Team to manually release.
